Getting started
How do I begin working with you?
Book a free 30-minute discovery call through the contact page or call us directly. After the call we ask for three months of bank statements and any existing ledger file, and we return a written quote within two business days.
How long does onboarding take?
Two weeks for a typical business with two bank accounts and one payroll schedule. Businesses with historic clean-up or several entities usually take three to five weeks.
Do I need to switch accounting software?
Not usually. We work in the major cloud accounting platforms and will keep you on whatever you already use if it fits. If your current setup genuinely cannot support proper reporting, we will say so and quote the migration separately.
Can you take over mid-year?
Yes, and most clients do. We verify opening balances at the hand-off date and document anything we could not agree, so responsibility for each period is clear.
Scope and services
Are you a CPA firm?
No. Quillbook Office LLC provides bookkeeping and financial administration services. We are not a licensed public accounting firm. We do not prepare or file income tax returns, issue audit, review or compilation reports, or give legal advice.
Will you work with my existing accountant?
Gladly — about 70% of our clients keep their own CPA. We prepare the records and hand-off package their work depends on and coordinate directly with them so you are not the messenger.
Do you file my sales tax returns?
We prepare the schedules, maintain the filing calendar and reconcile filed amounts back to the ledger. The return itself is submitted by you, your CPA or your filing agent.
Can you handle several companies?
Yes. Additional entities are $180 per month each; consolidated reporting is quoted on request.
Pricing and billing
How much does it cost?
Monthly plans start at $325. Full published pricing, including add-ons, is on the pricing page.
Why is my quote higher than the published price?
The published figure is the entry point for its tier. Volume above the tier limit, extra accounts, inventory, job costing or multi-state sales tax add scope — and we would rather tell you that up front than discover it in month three.
Is there a contract?
No annual lock-in. The engagement letter runs month to month and either side can end it with 30 days' written notice.
How do I pay?
ACH, credit card or check. Invoices are issued on the first business day of the month and due on receipt. There is no card surcharge.
Working together
Who will I actually deal with?
One named bookkeeper, with Elizabeth Miller reviewing every file before release. Your work is not passed around a pool and nothing is subcontracted overseas.
How quickly do you reply?
Within one business day for email, same day for anything urgent. Our hours are Monday to Friday, 9:00 AM to 6:00 PM Eastern.
What if I am late sending documents?
We send one consolidated query list on business day 4. If answers arrive after business day 7 we still close on time, but unresolved items are flagged in the report as open queries rather than guessed at.
How is my data protected?
Read-only bank feeds, an encrypted document portal, mandatory multi-factor authentication, least-privilege access reviewed quarterly and a seven-year retention schedule. See our Privacy Policy.
What happens if I leave?
You give 30 days' notice, we finish the current month, export your data in a portable format and hand over a closing file with a written summary. No exit fee.
Do you offer refunds?
If we miss an agreed delivery date for reasons within our control, our Refund Policy sets out the credits that apply.
